Statement of Intent

This Privacy Policy sets out how I, at Bonsai Tree Hypnotherapy, use and protect the information that you provide when you use my services and my website. It is my intention to ensure that any data you provide is managed respectfully, kept secure and only used for the purposes for which it has been provided.

This Privacy Policy document contains types of information that is collected and recorded by Bonsai Tree Hypnotherapy, accessible at bonsaitreehypnotherapy.co.uk.

What I do with this information

I will use this information to contact you to discuss your treatment and to book a course of therapy sessions, if you wish to go ahead.

During your Initial Consultation, I will ask for

Your name, address, telephone and email contact details so that, if necessary, I may contact you during the time we are working together. I will also ask questions about your age, occupation, education, health, medication and pastimes. These questions help me to get to know you better and tailor the therapy for your needs.

Under the General Data Protection Regulations which are effective from 25th May 2018 you have the following rights:

I am a Data Controller of your information.

My legal basis for collecting and using the personal information described in this Privacy Policy depends on the Personal Information I collect and the specific context in which I collect the information:

  • My needs to perform a contract with you
  • You have given me permission to do so
  • Processing your personal information is in my legitimate interests
  • We need to comply with the law

Personal data that I process shall not be kept for longer than is necessary. I will retain and use your information to the extent necessary to comply with my legal obligations, resolve disputes, and enforce my policies.

If you are a resident of the European Economic Area (EEA), you have certain data protection rights. If you wish to be informed what Personal Information I hold about you and if you want it to be removed from my system, please contact me by email.

The GDPR includes the following data protection rights:

  • the right to be informed (which is why we have produced this policy).
  • the right of access, update or to delete the information I have on you. (if you wish to see your file then please make a request in writing to Tracey Young, the Data Processor. I will provide you with the information within 30 days of your request).
  • the right to rectification (this is your right to request changes to any information I hold that is factually inaccurate. If you believe any of the information, I hold about you is incorrect then please let me know as soon as possible and I will make the appropriate changes
  • the right to erasure (given the nature of my work I am required to hold my details for a period of 8 years, after this your information will be securely destroyed.)
  • the right to restrict processing (I will only use the information for the purposes that I have stated: most standards of confidentiality applied in professional contexts are based upon the Common Law concept of confidentiality where the duty to keep confidence is measured against the concept of “greater good”.
  • the right to data portability: I will not share your information, other than in the situations described above, without your specific consent.
  • the right to object (I will not contact you for marketing purposes unless you have given me specific agreement to do so)
  • the right not to be subject to automated decision-making including profiling (I will not use your information for profiling purposes).

Booking Form

When you contact me via my website Booking Form, I will collect your name, email address and telephone. By using the Booking Form you consent to me using this information for correspondence purposes, notably to discuss your interest in Hypnotherapy treatment and to book an appointment.

To have your details deleted from my records, please contact me via email.

Sharing Data

The clinic premises may operate CCTV surveillance for the purposes of security. Any data obtained via CCTV is protected in accordance with the GDPR.

Blog Subscription Service

When you sign up to my Blog Subscription service, I will collect your email address. By using the Blog Suscription service you consent to me using this information in order to send you by email my Blog Posts as and when they are published. To unsubscribe and have your email deleted from this service, either click “Unsubscribe” at the bottom of a Blog Post email, or contact me by email.

Testimonials

Subject to your prior consent, I may publish information you provide about treatment you received from me as a Testimonial on my website. Such information may be available, via the internet around the world. I cannot prevent the use (or misuse) of such information by others. To have your testimonial deleted from my website please contact me via email.

Cookies

Like any other website, my website uses ‘cookies’, cookies are small files which ask permission to be places on my computers hard drive so that I can analyse web traffic to the website. They are also used to store information including visitors’ preferences, and the pages on the website that the visitor accessed or visited. The information is used to optimize the users’ experience by customizing our web page content based on visitors’ browser type and/or other information.

My website may contain links to other websites of interest (Facebook, Twitter, PayPal etc). I cannot therefore be held responsible for the protection and privacy of any information which you provide when visiting such sites and these sites are not governed by this privacy policy. I advise therefore, that you exercise caution and consult the respective Privacy Policies of these other sites for more detailed information. It may include their practices and instructions about how to opt-out of certain options. 

Log Files

My website follows a standard procedure of using log files. These files log visitors when they visit websites. All hosting companies do this and a part of hosting services’ analytics. The information collected by log files include internet protocol (IP) addresses, browser type, Internet Service Provider (ISP), date and time stamp, referring/exit pages, and possibly the number of clicks. These are not linked to any information that is personally identifiable. The purpose of the information is for analyzing trends, administering the site, tracking users’ movement on the website, and gathering demographic information.

Children’s Information

I do not sell my hypnotherapy services or products to children under the age of 18, nor do I market to children. I also do not collect any personal identifiable information from children under the age of 18, If you have any reason to doubt that your child has provided this kind of information on my website, I strongly encourage you to contact me immediately. If you are under the age of 18 years, the use of my hypnotherapy service and website can only be given and used with consent from a parent or guardian.

Online Privacy Policy Only

This privacy policy applies only to my online activities and is valid for visitors to my website with regards to the information shared and/or collected online. This policy is not applicable to any information collected offline or via channels other than this website.

Where sessions are conducted online via Zoom, Skype, or Facetime, the sessions are recorded only for as long as it takes to write up the notes not taken contemporaneously. Once notes have been documented, the recording is deleted.

Consent

By using my website, you hereby consent to my Privacy Policy. I may update this Privacy Policy from time to time, and I invite you to check this page periodically to ensure you are happy with any changes to it.

Complaints

I would hope this never be required, but I must make you aware that you have access to the complaint’s procedures of the National Council for Hypnotherapy at any time and they can be contacted on 0845 544 0788.
